Email setup

Set up your email on Android (Gmail app)

Add your work email to the Gmail app that comes with most Android phones.

About five minutes. You will need your email address and password, and the settings from Your email settings.

The Gmail app handles any email account, not only Gmail addresses.

Steps

  1. Open Gmail.

  2. Tap your profile picture in the top right, then Add another account.

  3. Choose Other at the bottom of the list.

Do not choose Google, Outlook or Yahoo. Your work email is none of those, and picking one is the most common wrong turn here.

  4. Type your full email address and tap Next.

  5. When asked what type of account, choose Personal (IMAP).

  6. Enter your password and tap Next.

  7. Under Incoming server settings:

    • Username: your full email address
    • Password: your email password
    • Server: imap.yourdomain.com
    • Port: 993
    • Security type: SSL/TLS
  8. Tap Next.

  9. Under Outgoing server settings:

    • Make sure Require sign-in is ticked
    • Username: your full email address
    • Password: your email password
    • SMTP server: smtp.yourdomain.com
    • Port: 465
    • Security type: SSL/TLS
  10. Tap Next, choose how often to sync, then Next again.

  11. Enter your name as you want it to appear on messages you send, then Next.

Check it worked

Send yourself an email from another account and reply to it.

If it does not work

"Couldn't open connection to server"

Almost always the security type. Set it to SSL/TLS, not None and not STARTTLS, and make sure the port matches: 993 incoming, 465 outgoing.

Mail arrives but will not send

Require sign-in is unticked on the outgoing server. Go to Gmail ‚Üí Settings ‚Üí your account ‚Üí Outgoing settings and tick it, then add your username and password.

Wrong account type chosen

If you picked Google or Outlook by mistake, remove the account and start again from step 2. It cannot be changed afterwards.
